🌐 Job Description: Freelance Virtual Assistant — Zirtual

Type: Freelance / Remote

Position Overview

As a Virtual Assistant (VA) with Zirtual, you will serve as a remote, independent contractor who partners with clients to handle a variety of administrative, executive, and personal tasks. You will work 100% remotely, providing high-level support to clients such as entrepreneurs, business owners, and executives. Your role will involve managing tasks proactively, maintaining strong communication with both clients and internal supervisors, and upholding Zirtual’s service and quality standards.

🔑 Key Responsibilities

  • Manage clients’ calendars: schedule, reschedule, avoid conflicts, send reminders.

  • Email and inbox management: monitor, categorize, respond or flag emails per the client’s direction.

  • Travel arrangements & logistics: book flights, hotels, ground transport, prepare itineraries. Research tasks: gathering information on various topics, events, contacts, market research, etc.

  • Expense tracking, invoicing, and documentation as needed. Digital filing & organization: keeping files, contacts, documents, and workflows organized. Meeting & project support: prepare meeting notes, follow up on action items, ensure project milestones are met.

  • Maintaining client profiles: understanding the preferences, working style, and ongoing needs of each client.

  • Communication: being proactive in communicating with clients and internally (Account Supervisors) about status, delays, suggestions. Responding within defined timeframes.

  • Time tracking / usage reporting: documenting the hours worked, tasks completed, and updating weekly usage reports.

✅ Requirements

  • Education: Associate’s or Bachelor’s degree, or equivalent experience.

  • Relevant Experience: Several years (often 5+) of administrative / executive assistant experience. Experience working remotely is preferred.

  • Familiarity & proficiency with tools:

    • Calendar tools (Google Calendar, Outlook)

    • Productivity / project/task management tools (e.g. Trello, Asana, Monday.com)

    • Email clients, document management (Google Workspace, Microsoft Office)

    • Expense / invoicing tools (e.g., Expensify, QuickBooks) and possibly CRM platforms.

  • Work environment:

    • Reliable high-speed internet, computer, phone, webcam etc.

    • Remote work capability, self-motivation, being organized.

  • Communication skills: Excellent verbal & written communication; ability to juggle multiple tasks and priorities.

  • Availability: Must be available during client’s business hours as agreed per client (often aligned to U.S. time zones) but not necessarily 24/7.

💵 Compensation & Contract Terms

  • You are hired as an independent contractor (1099 contractor), not as an employee.

  • Compensation depends on client plan mix and how much utilization/retention of clients you maintain.

  • After a period (e.g. 6 months), there may be a possibility of increasing revenue split or compensation based on performance and retention.
